5 messages every cleaning company should have ready
By The Joblinkers Team
Why saved messages matter
Most cleaning jobs are won or lost in a handful of short messages. The homeowner who asked for a quote at 9 pm, the estimate sitting in someone's inbox, the client who forgot you were coming tomorrow. None of these need a clever sentence. They need the right message, sent at the right time, every time.
The easiest way to get there is to stop writing them from scratch. Save these five, adjust the details, and reuse them.
1. The inquiry reply
When: within minutes of a new request, not tomorrow morning.
People who ask for a cleaning quote usually ask more than one company. The first clear, friendly reply sets the tone, even if you cannot quote yet.
Hi Maria, thanks for reaching out to Sparkle & Co! We got your request for a biweekly clean of your 2 bed / 1 bath. To give you an accurate price, could you tell us roughly how long it has been since the last deep clean, and whether you have pets? We have openings next Tuesday and Thursday.
Why it works: it confirms you got the request, asks the two questions that change the price, and offers real times.
2. The estimate follow-up
When: two or three days after you send the estimate, if you have not heard back.
Hi Maria, just checking in on the estimate we sent Monday for your biweekly clean. We still have Thursday mornings open. You can approve it from the link, or reply here with any questions.
Why it works: it names the job, offers a next step and makes replying easy. One or two more follow-ups, a few days apart, is plenty.
3. The booking confirmation
When: as soon as the job is on the calendar.
You're booked! Your first clean is Thursday, Nov 12 at 9:00 AM with Ana and Luis. They will arrive in a white van and spend about 3 hours. Please let us know how we will get in (lockbox code, key or someone home) and anything you would like us to focus on.
Why it works: date, time, who is coming and how long they will be there. Asking about access now prevents the most common day-of problem.
4. The day-before reminder
When: the afternoon before the visit.
Hi Maria, a quick reminder that Ana and Luis will be there tomorrow at 9:00 AM for your clean. If anything has changed with access or parking, just reply to this message.
Why it works: it gives the client a chance to flag lockouts, parking or a change of plans while you can still do something about it.
5. The review ask
When: the same day, a few hours after the clean, while the house still feels fresh.
Thanks for having us today, Maria! If you were happy with the clean, a quick Google review would mean a lot to a small team like ours: [link]. And if anything was missed, reply here and we will make it right.
Why it works: it asks while the experience is fresh, links straight to the review page and gives unhappy clients a private way to tell you first.
Let the first two send themselves
The inquiry reply and the estimate follow-up are the two messages that slip most often, because they land while you are on a job. Joblinkers can send both for you:
- Instant inquiry replies (optional). New requests from your online form, booking page, forwarded email or Google get a "thanks, we got your request" email right away, plus a follow-up if nobody books an assessment.
- Estimate follow-ups. Open estimates get a follow-up email after the number of days you choose, in your own wording. They stop as soon as the customer replies, approves or declines, and replies come straight to you.
Both live under Settings → Client Communication → Follow-Up Reminders. More on how the estimate follow-up works in Most estimates don't get a "no." They get forgotten.
